Workshop Automation System

About this project

Manual workshop management was costing hours every week. We built an n8n/Zapier automation pipeline that handles the entire post-workshop flow end-to-end — without a single human touch. The system detects attendees live via Zoom Server-to-Server OAuth, updates a Google Sheet in real time, posts structured Slack notifications, and then branches into two separate follow-up sequences: attendees who haven't booked get a staged email/SMS nurture campaign (that stops automatically on reply), while no-shows receive a separate re-engagement sequence. The host is filtered out, hot leads are routed to a priority queue, and the CRM and Zoho Campaigns are updated with current status throughout. Running consistently for months, this automation has eliminated manual tracking entirely and demonstrably increased booked discovery calls.
